Getting started

This guide is for the person setting up the account, usually an owner or office manager. Most teams are tracking time within an hour.

1. Create your company

Go to the sign-up page and enter your company name, time zone and your own details. You become the company’s first admin. We also send you an email to confirm your address.

The beta is free and every feature is switched on, so you do not need to choose a plan.

2. Run the setup wizard

The first time you sign in, a short wizard asks for the basics. You can skip any step and come back to it from Settings.

  • Company: name, time zone and how hours are displayed.
  • Pay periods: weekly, every two weeks, twice a month or monthly, and the date the current period started.
  • Overtime: pick a built-in rule, such as overtime after 40 hours a week, or none for exempt staff.
  • Employees: add a few people now, or import them later.
  • Punch methods and features: choose how people will clock in and what to switch on.

3. Add your team

Open Employees to add people one at a time, or import a CSV file. The import shows a preview with any problems in each row before anything is saved. Each person gets an email invitation to set their password.

Give each person a role. Admins manage the whole account. Managers look after the employees you assign to them, and you choose whether they can view or edit those people’s time and schedules. Employees see only their own information.

4. Decide how people punch

  • Their own device: people sign in on a phone or computer browser and use the Punch screen.
  • A shared kiosk: an admin or manager links a tablet or computer in kiosk mode from Settings, then employees punch with a PIN or a QR badge.
  • Group punch: a manager punches a whole crew in or out from the dashboard.

To keep punches on the premises, add IP locks for your office network or device locks for shared computers under Settings. GPS location and geofences are planned for after the beta.

5. Set your time rules

Under Settings you will find the rules that shape every time card. Defaults are sensible, so change only what your policy needs:

  • Break rules, including automatic deductions
  • Rounding and limits on when people can punch
  • Time-off types, accrual rules and company holidays
  • Alerts and reminders, such as late arrivals or forgotten punch-outs
  • Whether employees must submit their time card, and the statement they agree to

6. Build a schedule (optional)

Open Schedule to add shifts, or save a week as a template to reuse. When you publish, employees are notified and can see their shifts in the app or in their own calendar.

7. Approve time cards

At the end of each pay period, open Time Cards. Each card shows regular, overtime and time-off hours. Fix anything that looks wrong; every edit is recorded in the card’s history. Approve cards one by one or in bulk, then lock the period so it cannot change.

8. Export to payroll

In Settings → Integrations, create an export profile for your payroll provider’s file layout and map your earning codes once. Then each period, preview the export, check for skipped employees, and download the file to upload to your payroll provider.

If you use the payroll add-on instead, create a payroll run for the period, review and approve it, then lock it to issue pay stubs to your employees. It calculates gross pay only.

9. Secure your account

Under your account’s security page, set up an authenticator app or a passkey and store your recovery codes somewhere safe. Admins can require two-factor sign-in for everyone in the company.

Stuck? Open Help from the account menu in the app, or email gabriel@hubhive.com.

Try it with your team, free during the beta

Create your company account in a few minutes. Every feature is switched on while the beta runs, and there is no card to enter.
